Configuring POP3 and IMAP in Outlook

This guide is split into two sections; the first section covers connecting to Outlook using the POP3 protocol and the second section covers connecting to Outlook using the IMAP protocol.

Configuring Outlook 2007, 2010 and 2013 to connect via POP3

  1. Click the Start logo and then click Control Panel.

  2. Ensure the Control Panel is set to View by Small Icons or View by Large Icons and then select the Mail icon.

  3. Select Show Profiles...

  4. Select Add and give your profile a name, this can be anything that will allow you to easily reference the account. Once you are happy with the name click OK.

  5. Select Manually Configure Server Settings or additional Server Types and go to Next.

  6. Select Internet Email and go to Next.

  7. Provide the following information in the available fields:

    • Your Name: The name that will appear in the 'From' field when you send emails. o Email Address: Your primary email address.

    • Account Type: select POP3.

    • Incoming mail server: pop3.hs20.net

    • Outgoing mail server (SMTP): smtp.hs20.net o User Name: Your primary email address.

    • Password: Your usual mailbox password.

  8. Click More Settings.

  9. Go to the Outgoing Server tab, and then select the My outgoing server (SMTP) requires authentication checkbox. Then click Use same settings as my incoming mail server.

  10. Click OK to save your changes.

  11. Select the Next button. The Test Account Settings window will then appear to check that your account is working. If there is missing or incorrect information, such as your password, you are prompted to supply it or correct it.

  12. After receiving Congratulations! All tests completed successfully, click Close and Finish.

Configuring Outlook 2007, 2010 and 2013 to Connect via IMAP

  1. Click the Start logo and then click Control Panel.

  2. Ensure the Control Panel is set to View by Small Icons or View by Large Icons and then select the Mail icon.

  3. Select Show Profiles...

  4. Select Add and give your profile a name, this can be anything that will allow you to easily reference the account. Once you are happy with the name click OK.

  5. Select Manually Configure Server Settings or additional Server Types and go to Next.

  6. Select Internet Email and go to Next.

  7. Provide the following information in the available fields:

    • Your Name: The name that will appear in the 'From' field when you send emails. o E-mail Address: Your primary email address.

    • Account Type: select IMAP.

    • Incoming mail server: imap.hs20.net

    • Outgoing mail server (SMTP): smtp.hs20.net o User Name: Your primary email address.

    • Password: Your usual mailbox password.

  8. Click More Settings. The multi-tabbed window is displayed.

  9. Move to the Outgoing Server tab, and then select the My outgoing server (SMTP) requires authentication checkbox. Then click Use same settings as my incoming mail server.

  10. Click OK to save your changes.

  11. Select the Next button. The Test Account Settings window will then appear to check that your account is working. If there is missing or incorrect information, such as your password, you are prompted to supply it or correct it.

  12. After receiving Congratulations! All tests completed successfully, click Close and Finish.
